When clients hire an event production company, they expect to see massive road cases rolling into the venue filled with 4K cameras, line-array speakers, and miles of cabling. That is the standard toolkit. However, keeping a 1,000-person corporate conference running flawlessly requires a lot more than just high-end AV gear.
Behind the control desk, our crew relies on a highly specific stash of unusual items to solve problems before the client even notices them. Here are five of the weirdest—yet absolutely essential—things we bring to every major corporate conference.
1. A Massive A3 Printer
While the rest of the world has gone paperless, the control desk of a live event is ruled by the physical Run of Show (ROS). We always lug a heavy-duty A3 printer to the venue. A proper, second-by-second ROS for a multi-track conference contains too many columns to fit on standard A4 paper without requiring a magnifying glass. When the show caller, lighting tech, and audio engineer are tracking live cues, spreading A3 paper across the tech desk is the only way to ensure nobody misses a beat.
2. The Lanyard Recycling Bin
Corporate events generate a massive amount of waste, and lanyards are one of the biggest culprits. Most attendees take off their name badges the second they leave the venue, and the lanyards end up in hotel trash cans. We always bring a dedicated, highly visible lanyard recycling bin for the exit doors. It is a simple, unexpected touch that drastically reduces the event's carbon footprint. We collect them, sanitize them, and reuse the hardware for future internal employee events.
3. The "Dongle Graveyard" Tackle Box
No matter how many times a keynote speaker is reminded to submit their presentation in advance, there is always one executive who walks up to the stage three minutes before their slot holding an ancient PC or a brand-new MacBook without a standard HDMI port. We carry a massive fishing tackle box filled with every conceivable display adapter, dongle, and legacy cable created in the last 15 years. We never assume a speaker will bring their own connectors.
4. Yellow and Black Banded Safety Tape
It might look like a construction site staple, but this tape is an absolute necessity for live events. The backstage area and the edges of a dimly lit hotel ballroom are obstacle courses of thick cable runs, temporary stage steps, and sharp road case corners. We use heavy-duty yellow and black banded hazard tape to clearly mark out dangerous corners, highlight floor hazards, and tape down loose cables. It ensures that neither the attendees navigating the dark room nor the crew rushing backstage ever take a bad step.
5. A 5G Dual SIM Card Failover Router
Never trust venue Wi-Fi. A hotel ballroom's internet might work perfectly during the 7:00 AM empty-room rehearsal, but the second 1,000 attendees walk through the doors and connect their phones, the bandwidth crashes. Because we handle hybrid streaming and real-time cloud graphics, our production desk cannot afford a single drop in connection. We bring our own enterprise-grade 5G dual SIM card failover routers. If one cellular network drops or gets congested, the router instantly and seamlessly switches to the second SIM card on a completely different carrier network. This creates a private, unbreakable internet connection exclusively for the control desk that keeps your live stream online, no matter what happens to the venue's Wi-Fi.
Executing a high-stakes corporate event requires anticipating the unexpected down to the smallest detail. When you partner with a seasoned production team, you aren't just paying for the cameras and the lights; you are paying for the hyper-preparedness that ensures every hazard is marked, every rogue laptop is connected, and every cue is called with absolute precision.
